Terms & Conditions

Welcome to Alta Expedition Club. These Terms & Conditions govern your use of our website and the booking of trips, expeditions, tours, and related travel services through our website.
By accessing our website, submitting a booking request, or completing a booking and payment, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

1. Booking & Confirmation

A booking is considered confirmed once:

  • Alta has received the required deposit or payment;
  • the traveller has provided the information and documents required for the trip; and
  • Alta has issued written booking confirmation.

For group bookings, the booking confirmation applies to the traveller(s) named on the booking.

For private and custom journeys, the confirmed itinerary, quotation and booking confirmation together form the basis of the agreed trip.

Until a booking is confirmed, Alta does not guarantee availability of accommodation, domestic flights, permits, guides or other services.

By making a booking on behalf of other travellers, the person making the booking confirms that they have the authority to accept these Terms & Conditions on behalf of all travellers included in the booking.

2. What Your Trip Includes

Each trip has its own inclusions and exclusions, which form part of the booking.

Only services specifically stated as included in the confirmed itinerary or booking confirmation are included in the trip price.

Typical inclusions may include accommodation, meals, guides, permits, domestic transportation, domestic flights, activities and airport transfers, depending on the itinerary.

Anything not expressly listed as included should be considered excluded.

Please refer to the Inclusions & Exclusions section of your specific trip for full details.

3. Traveller Information & Documentation

Travellers are responsible for providing accurate and complete information required to arrange their trip.

This may include:

  • Full name as shown on passport
  • Nationality
  • Date of birth
  • Passport number and expiry date
  • Passport copy
  • Emergency contact information
  • Flight details
  • Medical and dietary information
  • Travel insurance information
  • Any other information reasonably required for permits, flights, accommodation or other travel arrangements

Travellers are responsible for ensuring that all information provided to Alta is accurate.

Incorrect or incomplete information may result in additional costs, denied services, permit issues or changes to the itinerary, for which Alta may not be responsible.

Travellers are also responsible for ensuring that their passport is valid for travel and that they obtain all visas, permits and entry documentation required for Nepal and any other country included in their itinerary.

4. Nationality, Permits & Government Fees

Certain permits, conservation fees, national park fees, restricted-area permits and other government charges vary according to nationality.

Alta will use the traveller’s passport or other officially accepted identification to determine the applicable fees.

If a traveller provides incorrect nationality information and this results in additional fees, permit issues or other costs, those costs will be the traveller’s responsibility.

Government fees and permit requirements may change without prior notice. Where such changes occur after booking, Alta may need to adjust the applicable trip cost.

5. Accommodation

Unless otherwise stated, room arrangements are based on twin/double sharing.

A single room may be available at an additional cost and is subject to availability.

In remote and high-altitude areas, accommodation options may be limited.

Where a specific hotel or property becomes unavailable, Alta may arrange an alternative accommodation of a similar standard.

6. Flights & Transportation

Domestic flights in Nepal, particularly flights to and from mountain airports, are subject to weather, visibility, airport conditions, operational restrictions, technical issues and other factors outside Alta’s control.

Flight schedules may change or flights may be delayed, cancelled or rerouted.

Where a flight disruption occurs, Alta will make reasonable efforts to assist with alternative arrangements where available.

Any additional costs arising from flight disruption, including additional accommodation, meals, transportation, flight changes or helicopter services, will be handled according to the specific circumstances and the terms of the relevant airline or service provider.

Travellers are strongly advised to allow sufficient flexibility in their itinerary and to avoid scheduling an international departure immediately after a weather-sensitive domestic flight.

Alta is not responsible for losses arising from missed international flights, onward travel or other consequential costs resulting from domestic flight delays or cancellations.

7. Itinerary Changes

Travel in Nepal can be affected by weather, road conditions, trail conditions, flight availability, local events, government restrictions, health and safety considerations and other circumstances.

Alta reserves the right to modify the itinerary where reasonably necessary.

This may include changes to:

  • Routes or trekking days
  • Accommodation
  • Transportation
  • Domestic flights
  • Activities
  • Guides or support staff
  • Daily schedules
  • Alternative destinations or experiences

Where reasonably possible, Alta will provide an alternative arrangement of a comparable nature and value.

For safety-related decisions during a trip, the judgement of Alta’s guide, expedition leader or local operating team will take priority.

No itinerary can be guaranteed to operate exactly as originally planned where circumstances outside Alta’s reasonable control make changes necessary.

8. Weather & Force Majeure

Alta operates trips in environments where weather and natural conditions can change rapidly.

Alta will not be responsible for delays, cancellations, additional expenses, itinerary changes or interruptions caused by circumstances beyond our reasonable control.

These may include, but are not limited to:

  • Extreme or adverse weather
  • Earthquakes
  • Landslides
  • Flooding
  • Avalanches
  • Road closures
  • Flight cancellations or delays
  • Airport closures
  • Strikes or industrial action
  • Political unrest
  • Government restrictions
  • Epidemics or pandemics
  • Natural disasters
  • Trail or route closures
  • Security concerns
  • Acts of terrorism
  • Changes in government regulations
  • Other unforeseen events affecting the safe or practical operation of the trip

Where such circumstances occur, Alta will make reasonable efforts to provide an alternative arrangement or reschedule the trip where practical.

Additional costs arising from such circumstances may be payable by the traveller where they are not recoverable from suppliers or covered by insurance.

9. Cancellation by Alta

Alta reserves the right to cancel or postpone a trip where necessary due to circumstances including safety concerns, insufficient operational feasibility, government restrictions, severe weather, natural disasters, political conditions or other circumstances beyond our reasonable control.

Where Alta cancels a trip before departure for reasons within Alta’s control, Alta will provide the traveller with the applicable refund or alternative arrangement communicated at the time.

Where cancellation is caused by circumstances beyond Alta’s reasonable control, Alta will make reasonable efforts to provide an alternative itinerary, rescheduled departure or trip credit where practical.

Alta will not be responsible for consequential or indirect costs such as international flights, visas, travel insurance, lost income, additional travel arrangements or other expenses incurred outside the services booked directly with Alta.

10. Changes to a Confirmed Booking

Requests to change dates, travellers, accommodation, room configuration, activities or itinerary arrangements must be made in writing.

Alta will make reasonable efforts to accommodate requested changes, subject to availability.

Additional costs may apply where changes result in:

  • Different accommodation rates
  • Different flight fares
  • New or amended permits
  • Supplier cancellation charges
  • Changes to group size
  • Additional transportation
  • Changes to guides or support staff
  • Other third-party costs

A change to the number of travellers may also affect the per-person price.

11. Medical Conditions, Fitness & Health

Travellers are responsible for assessing whether they are physically and medically fit for the trip they have chosen.

Certain Alta journeys involve physical exertion, trekking, high altitude, remote locations, uneven terrain, long travel days or limited access to medical facilities.

Travellers must disclose any medical condition, allergy, medication or other health information that may reasonably affect their ability to participate safely.

Alta may request additional medical information or confirmation of fitness where appropriate.

Alta reserves the right to modify, restrict or discontinue a traveller’s participation where we reasonably believe that continuing may place the traveller, guide, staff or other members of the group at risk.

No refund will necessarily be provided for unused services where a traveller is unable or unwilling to continue a trip due to personal health, fitness or other personal circumstances.

12. Travel Insurance

Comprehensive travel insurance is strongly recommended for all Alta journeys and mandatory for trips involving trekking, high-altitude travel, remote areas or other activities where emergency evacuation may be required.

Where required, insurance must provide appropriate cover for the nature and maximum altitude of the trip and should include:

  • Emergency medical treatment
  • Emergency evacuation, including helicopter evacuation where relevant
  • Trip cancellation and interruption
  • Delays and missed connections
  • Loss, theft or damage of baggage and personal belongings
  • Other risks appropriate to the traveller’s itinerary

Travellers are responsible for checking that their insurance policy covers the specific activities and maximum altitude of their trip.

Alta is not an insurance provider and is not responsible for costs that an insurer refuses to cover.

13. Altitude & Adventure Activities

Trekking, mountain travel, helicopter flights and other adventure activities involve inherent risks.

These may include altitude sickness, falls, injury, illness, extreme weather, difficult terrain, road conditions, flight risks and limited access to medical facilities.

Travellers understand and voluntarily accept the inherent risks associated with their chosen journey.

Alta and its guides will take reasonable precautions and will make safety the priority when making decisions during a trip.

A guide or expedition leader may require a traveller to descend, rest, change route or discontinue an activity if they believe it is necessary for safety.

14. Personal Belongings

Travellers are responsible for their personal belongings, passports, money, electronics, luggage and equipment throughout the trip.

Alta is not responsible for loss, theft or damage to personal belongings except where such responsibility cannot legally be excluded.

Travellers should keep important documents and valuables secure and maintain appropriate travel insurance.

15. Conduct & Respect

Alta is committed to responsible and respectful travel.

Travellers are expected to:

  • Respect local communities, customs, traditions and religious sites
  • Follow reasonable instructions from guides and Alta staff
  • Treat guides, porters, drivers, hotel staff and other service providers with respect
  • Follow environmental and conservation guidelines
  • Avoid behaviour that creates a safety risk for themselves or others
  • Comply with Nepalese law and local regulations

Alta reserves the right to remove a traveller from a trip where their behaviour is unlawful, abusive, discriminatory, threatening, disruptive or creates a serious risk to themselves, staff or other travellers.

In such circumstances, no refund will necessarily be provided and any additional costs arising from the traveller’s removal will be their responsibility.

16. Third-Party Suppliers

Alta works with independent suppliers and partners including hotels, airlines, helicopter operators, transportation providers, guides, trekking teams, restaurants, activity providers and other local service providers.

While Alta carefully selects its partners, services provided by third parties are subject to their own operating conditions and limitations.

Where a service is provided by a third party, Alta will make reasonable efforts to assist with

17. Photography & Media

Alta may photograph or film trips for editorial, documentary and marketing purposes.

Where travellers are identifiable in photographs or videos taken during an Alta journey, Alta may use such content on its website, social media, marketing materials and other brand channels.

If you do not wish to appear in Alta’s promotional photography or video, please notify us in writing before the trip begins. We will make reasonable efforts to respect your request.

18. Sustainability & Responsible Travel

Alta encourages travellers to respect the natural and cultural environments through which we travel.

Travellers are expected to minimise waste, respect wildlife, avoid damaging natural or cultural sites and follow local conservation guidelines.

Certain destinations may have additional rules regarding waste, water use, wildlife, photography or access. Travellers are expected to follow these requirements.

19. Website Information

Alta makes reasonable efforts to ensure that information published on its website is accurate and current.

However, photographs, descriptions, itineraries, travel times, accommodation examples and other information may change due to seasonal conditions, supplier availability, government regulations or operational requirements.

The itinerary and services confirmed at the time of booking take precedence over general website descriptions where there is a difference.

20. Privacy & Personal Information

Alta collects and uses traveller information where necessary to process bookings, arrange travel services, communicate with travellers and operate trips.

Information may need to be shared with relevant service providers, including airlines, hotels, guides, permit authorities, transportation providers and other partners, where necessary to deliver the booked services.

Alta will handle personal information in accordance with its applicable privacy policy and data protection obligations.

21. Complaints

If you experience an issue during your trip, please notify your Alta representative or guide as soon as reasonably possible.

Many issues can be resolved more effectively while the trip is in progress.

If the issue cannot be resolved during the trip, any formal complaint should be submitted to Alta in writing within a reasonable period after the trip.

Alta will review complaints fairly and in good faith.
